JOB PURPOSE

We are looking for an Executive Assistant to support SBM Offshore’s Chief Operational Officer (COO) and Chief Business Officer (CBO) who are based in Schiphol, the Netherlands.

You perform various duties with flexibility and ownership within your assigned remit and work closely with senior representatives both internally and externally.

You will be part of the team of Executive Assistants to the CEO, CFO and the Company Secretary Department. Although each Executive Assistant has her own scope, it is important to work closely together and as a team, and support the others if needed.

You are responsible for supporting your assigned remit by pro-actively planning and completing the assigned activities, with the highest level of accuracy and on-time deliverables.

You apply and uphold SBM’s policies and procedures with a high degree of (customer) focus, discretion, and confidentiality.

 

In addition, you will be in charge to:

  • Manage the calendar of the COO and CBO, including scheduling internal and external meetings. Book international travel and travel accommodations, including hotels, taxis and visa applications.
  • Perform administrative and office support tasks, ensure compliance with internal processes, efficient filing and auditable record keeping.
  • Responsible for support in the procurement of goods and services, budgets and expenses and other paperwork on behalf of the COO/CBO, and manage the relevant third parties.
  • Prepare content such as PowerPoint presentations, papers etc.

 

JOB REQUIREMENTS 

School/studies/degree:

Minimum MBO+ working and thinking level

Experience:

A minimum of 5 years of secretarial experience at a large organisation.

Specific skills:

  • Mandatory Fluent in English (written and spoken)
  • Strong computer proficiency (MS Office) in particular Word, Excel, Outlook, Teams and PowerPoint;
  • Project Management skills will be a plus.
  • Analytical and Accounting skills, especially for management of the Costs / Reports and Purchase Orders (POs)
  • Excellent communication skills. Ability to write with good spelling and grammar.
  • Organisation skills. Ability to thoroughly organise and coordinate meetings/events/projects, both internally and offsite. Ability to prioritise tasks and meet deadlines.
