Description: 

Purpose

  • As the front desk agen, you contribute to SBM Offshore good image and reputation by ensuring a professional contact with all external parties and an efficient liaison with the appropriate SBM personnel.
  • You also handle requests from SBM staff with courtesy and contributes in maintaining a safe working environment for all.

Responsibilities

  • You ensure liaison between external parties and SBM employees worldwide
  • You provide information on SBM organization, telephone numbers, ensure message on the SBM voicemail is up to date in case of emergency and when offices are closed
  • You orientate visitors and help with special requests such as taxi bookings and lunches
  • You collect post and emails whenever required and transfer to messengers for internal distribution
  • You manage all incoming calls and transfer messages whenever required
  • You organize international conference calls
  • You are the point of contact for lunch deliveries
  • You liaise with external suppliers (cleaner) when there is a special need
  • You act as information desk for employees requesting information on local facilities
  • You ensure documents at the front desk reception and contact numbers on the SBM Online are up to date & and distribute mails whenever needed
  • Monitor entrance of SBM buildings and inform the Security team in case of suspicious situations or potential intruders
  • You ensure all visitors and contractors are recorded in the internal register and are being hosted by appropriate SBM person
  • You issue badge with appropriate access to all SBM staff as well as visitors and ensure badges
  • Are deactivated when they leave the company
  • Yu explain office safety procedures to all visitors and contractors and issue badge
  • You help in case of evacuation by ensuring all exit paths are open and give the visitor register to
  • The Office Safety team and /or firemen for control
  • You facilitate access of the firemen to SBM buildings whenever requested
  • You follow internal procedures for any other specific visitors (ie: local authorities)
  • Youreport any unsafe situations and incidents to the supervisor

Education

  • High school diploma

Experience

  • 2-3 years of relevant experience in an office environment
  • Professional demeanor
  • Familiarity with basic office software
  • Ability to operate scanners, copiers and printers
  • Demonstrated ability to read, write, and speak English
  • Comfortable multi-tasking and prioritizing tasks without guidance
  • Excellent interpersonal skills
  • Familiarity with multi-line telephone systems
  • Prior experience with Microsoft Office and typing
