The Administrative Assistant supports SBM’s managers to meet the strategic objectives in line with SBM’s Values. You perform advanced and diversified administrative duties within your assigned remit.
You are responsible for supporting your assigned remit (management, the (global/ local) department or the project) by pro-actively planning and completing the assigned activities, with accuracy and on-time deliverables.
You apply and uphold SBM’s policies and procedures in support of the respective population with a high degree of customer focus, discretion and confidentiality.
- In order that assigned activities are completed successfully, YOU ARE TO:
- Take ownership to define and develop scope of assigned remit and required support
- Understand and complete assigned tasks within the predefined criteria and compliant with applicable (internal and external) policies, codes and standards.
- Identify areas requiring more detailed instructions and clarify understanding, expectations as necessary.
- Proactively highlight concerns as they arise, and (re)prioritize assigned activities to meet key milestones.
- Proactively provide status updates including timely feedback regarding potential issues/ solutions while maintaining a high level of confidentiality and customer focus.
- Escalate unresolved issues to minimize delays in deliverables.
- Review data and prepare presentations and suggestions.
- Ensure work is documented in a well-structured format to clearly convey required information.
- Utilize organizational skills to ensure good house-keeping of deliverables and internal records.
- Be self-motivated to improve on functional competences for the assigned work (for current and future demands).
- Have understanding of how new events or changes will affect individuals and business processes and recommend necessary actions.

- Develop understanding of your line manager/ department/ project and preferences in order to anticipate needs.
- Understand how assigned tasks will affect all stakeholders
- Support the timely execution of the policies, processes, procedures and instruments within your remit and support appropriate understanding
- Pro-actively approach involved colleagues to get feedback and updates in order to accurately inform on the progress made and status.
- Maintain effective working relationships, both within and outside the team
- Establish and maintain professional communication with internal and external stakeholders
- Create, review and update documentation on department/project procedures and work instructions
- (When applicable) Provide accurate and detailed information when escalating to the next level.
