ROLE PURPOSE

 

We are looking for a Project and department assistant, based in Monaco (working hybrid), reporting to the Group Tax Director supporting the whole team and related projects.

 

The Project and department assistant supports Group Tax team to meet the team objectives in line with

SBM’s Values. You perform advanced and diversified administrative duties within your assigned remit.

You are responsible for supporting your team i.e. the global tax department and tax driven projects by pro-actively planning and completing the assigned activities, with accuracy and on-time deliverables.

You apply and uphold SBM’s policies and procedures in support of the respective population with a

high degree of customer focus, discretion and confidentiality.

 

ROLE CONTRIBUTION

 

We have identified following activities in the scope of the position:

  • Coordinate internal administrative processes like arranging PO, budget, contracts for the tax department, including the approval of tax suppliers (lawyers, consultants and other tax vendors) in the supply chain system, processing of invoices and follow up of payment.
  • Follow up of department budget and liaising with internal stakeholders for the re-allocation of various PR/PO costs.
  • Prepare some team documents like power point presentation, meeting memos, excel file overviews (e.g. with status update, team holiday plans, attendee list)
  • Support/in charge of organization: training, workshops, management meetings, both internal as well as with external stakeholders
  • Coordinate with external consultants on agenda: tax advisors, consulting companies, and internal stakeholders: IT, finance, change management, procurement etc.
  • Prepare and administer as agreed sharepoint required for team work, including the tax department microsite.
  • Manage multiple priorities with accuracy and on time; prepare the minutes of the meetings/action list
  • Proactively provide status updates on the current activities including timely feedback regarding potential issues/ solutions while maintaining a high level of confidentiality; in case of challenges proactively escalate to higher management
  • Proactively highlight concerns as they arise, and (re)prioritize assigned activities to meet key milestones and escalate unresolved issues to the appropriate stakeholder to minimize delays in deliverables
  • Ensure activities are completed in line with expectations of team.
  • Ensure confidentiality in all tax matters

  • Ability to maintain effective working relationships with others, both within and outside the team
  • Have a pro-active approach in involving colleagues to get feedback and updates in order to accurately inform about the progress made and status
  • Very Comfortable with working with MS tools: excel, power point, sharepoint, outlook, planner, project
  • Very good communication skills in English (both written and verbal)
  • 5+ years of experience in a similar role in an international, large and complex corporate organization
