MAIN MISSION


You will provide high-level administrative support to the MD of Operations and the Operations Excellence Director, managing schedules, coordinating meetings, handling communications, and assisting with various operational tasks and projects. You’re highly organized, proactive, and capable of managing multiple priorities with a high degree of professionalism and confidentiality. You will play a crucial role in ensuring the smooth and efficient operations such as:

 

Administrative support

  • Manage the directors’ s calendars, including scheduling appointments, maintain all regular/routine meetings with right attendees, plan in advance, maintain list of all meetings and purpose, and book travel arrangements for department members.
  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. Establish nature and priority of meetings and organize appointments.
  • Organize and maintain regular department meetings.
  • Connect with others directors assistants and regions to arrange meetings and unlock meetings conflicts situations.
  • Create correspondence, presentations, graphs, and tables, type letters, memos, MoM, organization charts and other documents as needed.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail. Prioritize and submit urgent matters, for directors’ s review or action, in line with important deadlines and business requirements.
  • Manage and respond to queries from senior managers within the departments.
  • Assist with the planning, execution, and monitoring of operational projects. Track project timelines, deliverables, and budgets.
  • Link and coordinate with communication for specific communication swags or others for specific events or campaigns.
  • Prepare and issue Purchase Orders, ensure the accuracy of costs, get approval, follow-up and sign-off on budgeted expenses.
  • Coordinate with internal and external stakeholders to ensure project milestones are met.
  • Serve as a liaison between the directors, internal stakeholders, and external partners to organize meetings, venues, book meeting room, etc.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Maintain a high level of integrity and professionalism in all interactions.

 

Events organization

  • Organize department events like team building or celebrations for specific achievements.
  • Organize agenda/meetings rooms/lunches when client or external stakeholders come for workshops.

 

Share Point Management

  • Be the focal point for OPS employees through the development of the OPS SharePoint.
  • Support organization of the filling system on the drives and SharePoint, for all administrative related matters.
  • Oversee the publication process for all OPS announcements.
  • Propose indicators or any other solutions to reinforce the Employees engagement & satisfaction.
  • Coordinate information gathering and diffusion.

 

Job requirements

 

EDUCATION:

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.

 

EXPERIENCE:

  • Minimum 15 years’ experience in similar position.
  • Proven experience with Experience with SharePoint is preferred.
