Contingent Workforce Officer

Purpose
- The Contingent Workforce Officer is reponsible for handling the transactional activities and the full End to End process of the Contingent Worforce (Contractors) meeting business needs.
Responsibilities
- Manage Contingent Worker administration (Hire, Transfers, Change of assiments, termination, onboarding, agencies payments...)
- Responsible for drafting contingent workforce contracts according to the frame agreements defined with the vendor.
- Set up data correctly in our HR system (SAP SuccessFactors)
- Request Purchase Orders, follow up with pending approvals and wrong/unpaid invoices
- Check and approve invoices from the agencies
- Administrative interface with Internal Stakeholder (Purchasing, Recruitment, Accounts Payables, Cost Controllers)
- Responsible for the Onboarding and Offboarding of the Contingent Workforce and Track work effectiveness on invoicing process
- Storage and Maintain accurate records of all contingent workers, including contracts, assignments, and performance data in contractor’s file and SAP
- Storage of Contingent Workforce evaluation (SQR) documentation in contractor’s file and SAP
- Organize, control, and generate reports on expenses versus available funds in POs
- Pro-actively share local best practices with other members of the team to ensure improvement of local execution
- Keep the CWF Specialist updated on the status of mobilizations and any potential business impacts.
- Propose improvements to the processes under their responsibility (e.g., hiring, data quality, invoices, etc.)
- Provide consistent feedback to the others members of the team regarding agency performance, key issues, and improvement suggestions
- Ensure our legal and compliance rules related to agency contracts and Contingency workforce documentation
Education
- Bachelor or Master’s degree in HR, Psychology or Business Administration
Experience
- 0 to 3 years of experience in administrative HR work
- Experience in in managing relationships with Contingent Workforce agencies, vendors, and other third-party service providers will be a plus (not mandatory)
- Good verbal and written communication skills
- Experience with SuccessFactors will be a plus (not mandatory)
- Good English level
- Good organizational skills; able to manage priorities
- Ability to adapt to changing work environments and work priorities
- Pro-active and on top of things
- Ability to work under pressure while maintaining high-quality performance and positive attitude
- Capacity to share complete and accurate information
