Purpose
-
The trainee will support the Operations Excellence digital portfolio by organizing reliable project information and transforming it into clear, actionable reporting. Working alongside Digital Project Leads and functional stakeholders, the trainee will contribute to project coordination, planning follow-up, KPI monitoring and the early definition of new digital initiatives.
A key learning assignment will be to design dashboards and explore an approved AI-enabled agent that can help users retrieve, summarize and interpret portfolio information.
Responsibilities
Portfolio data and project controls
• Collect and structure project data from approved sources, including budgets, commitments, actuals, forecasts, milestones, risks, actions and KPIs.
• Perform first-level checks for completeness, consistency and update status, record discrepancies and follow up with data owners.
• Maintain trackers and a consolidated portfolio view linking financial performance, schedule progress and delivery status.
• Support recurring reviews by highlighting deviations, overdue inputs, emerging issues and decisions requiring attention.
• Support budget cycles, reforecasting, progress updates and project close-out by organizing evidence and ensuring traceability.
Dashboards for cost, planning and KPIs
• Gather user requirements and translate them into dashboard pages, indicators, filters, drill-downs and refresh needs.
• Create and improve dashboards combining cost, planning and KPI data using approved Microsoft Power Platform tools and corporate sources.
• Develop views for budget vs actuals, commitments, forecasts, variances, milestones, schedule status, actions and risks.
• Prepare data dictionaries, calculation rules, refresh instructions and user guidance.
• Support testing, feedback collection, defect tracking and controlled releases.
Intelligent reporting agent
• Define priority user questions, such as cost variances, upcoming milestones, delayed actions, missing updates and KPI exceptions.
• Organize knowledge and data inputs, including approved definitions, reporting rules, project metadata and access boundaries.
• Configure or prototype the agent using approved technologies and available environments.
• Design concise responses with links to dashboards or source records rather than unsupported conclusions.
• Create test cases, validate responses against source data, document limitations and track improvements.
• Apply responsible AI principles by protecting confidential information, respecting access rights and ensuring human review.
Digital initiative and delivery support
• Support interviews and workshops for new ideas, capturing objectives, value, scope, dependencies, assumptions and success criteria.
• Contribute to requirement notes, process descriptions, solution options and material for Ideate and Validate discussions.
• Maintain initiative logs, decisions, actions and open points, and prepare review packs.
• Assist with preliminary budget and planning inputs without owning final estimates.
Purchase-order and administrative coordination
• Compile documents for purchase-order requests, including scope, supplier information, budget details, coding and approvals.
• Track Legal review and DocuSign workflows and inform responsible leads of pending actions.
• Assist with PO preparation or placement in Nadia or IFS when authorized and supervised.
• Maintain a status tracker and escalate blockers.
Education
Education
- Currently pursuing or recently completed a degree in engineering, information systems, data analytics, finance, business, project management or a related field.
Technical interests and capabilities
- Project Management and coordination
- Good working knowledge of Excel and PowerPoint, with an interest in Power BI, Power Apps, Power Automate, Copilot Studio or comparable approved tools.
- Interest in project finance, planning, KPIs, data visualization, AI assistants and digital transformation.
- Ability to structure data, check figures, identify inconsistencies and explain findings clearly.
- Basic understanding of databases, data models, formulas, reporting logic or prompt design is advantageous.
- Exposure to ERP or project-management systems is useful.

- Curious, analytical and willing to learn through practical assignments.
- Organized and attentive to detail, with the discipline to maintain reliable records.
- Comfortable asking questions, testing ideas and receiving feedback.
- Able to collaborate with technical and non-technical stakeholders.
